Time Equivalency

Who must earn time equivalency credit?

Professional staff members are required to attend approved professional development outside the contract or workday to receive time equivalency credit.

Do paraprofessionals have time equivalency requirements?

Paraprofessional employees do not have time equivalency requirements and are not eligible to participate in the time equivalency program. Paraprofessionals must work their designated work days as determined by the Human Resources department.

How many hours of time equivalency credit must be earned?

Professional employees must earn 12 hours of time equivalency. Six hours are required in areas designated by campus/district needs assessment and other district requirements and six in areas of teaching or job assignments. Courses that qualify for time equivalency must directly relate to improving student achievement or to improving the professional employee's job skills. Six (6) hours of time equivalency credit is equal to one workday.

What is the deadline for earning time equivalency credit?

The time frame for the accumulation of time equivalency credit for all professional employees begins in May 18, 2007 and ends on May 17, 2008.

What does it mean if I receive a “no show” e-mail message?

If a participant registers for a course and does not attend or sign-in he/she will be marked a “no show.” Principals will receive quarterly reports of “no shows” for their campus staff to address in PDAS Domain VII.

What does it mean if I am marked a “late drop”?

Staff is required to drop a course two school days prior to a scheduled session. Participants will be marked a “late drop" for the session if the course is dropped after the required two days. Principals will receive quarterly reports of “late drops” for their campus staff to address in PDAS Domain VII.

What does it mean if I am marked a “walk-in”?

All staff is required to pre-register for all training sessions through ERO a minimum of two days prior to a session. “Walk-ins” will not be guaranteed admission. Those that are allowed to remain in the session will be marked as “walk-ins”. Principals will receive quarterly reports of “walk-ins” for their campus staff to address in PDAS Domain VII.

May I attend professional development sessions during the designated T.E. calendar days?

The District will not offer professional development sessions during the designated T.E. calendar days. Professional employees must earn time equivalency credit in exchange for these two days.

What if I don't earn 12 hours of time equivalency?

Pay will be deducted from the June paycheck of those professional employees who have not earned 12 hours of time equivalency credit by the deadline. Payroll deductions will be done in hourly rate increments based on each individual’s daily rate as determined by the Personnel Department.

How is time equivalency credit earned?

Time equivalency credit is earned by attending sessions offered by the School for Professional Development through the Electronic Registrar Online (ERO) or out-of-district professional development sessions that are approved in advance by one's principal. Time equivalency must be earned in credit blocks of no less than two hours.

How do I receive time equivalency credit for a professional development session offered outside the district?

Staff must complete a Add/Request Form and submit it to the Office of Professional Development no later than 2 weeks after the session. Add/Request Forms with evidence of course completion (certificate of completion, conference programs, agendas etc.) must be signed by principals (campus staff) and supervisors (central office staff).

Do college courses count for time equivalency?

College courses that are appropriate to the professional employee’s job responsibilities will count toward time equivalency credit if pre-approved by the principal but will not be recorded on the Professional Development Transcript. The college transcript may be used to document course completion for one's supervisor using University/College Form B.

May I earn time equivalency credit for online courses?

Online courses that are not sponsored by the District must be pre-approved by the District Content Coordinator or the Central Office Supervisor using Online Form C. A maximum of 3 T.E. hours credit may be earned through a pre-approved out-of-district online course. These courses must be appropriate to the employee’s job responsibilities or teaching assignment(s) and directly related to improving student achievement.

If I receive a stipend for attending a session will I also receive time equivalency credit?

If a participant receives a stipend for attending either a district or out-of-district session, no time equivalency credit will be awarded. The participant will only receive transcript credit

Do part-time staff have to meet the 12 T.E. hour requirement?

Part-time staff must only earn 6 T.E. hours.

Should I keep my own records of professional development?

All professional employees are encouraged to keep records of their own professional development. The Office of Professional Development will maintain professional staff transcripts on ERO. Staff members may view and print their own transcripts as needed.

Are there special requirements for employees hired after the start of the school year?

New professionals hired after the start of the school year and before the designated T.E. days will be required to earn 12 hours of professional development outside of their contract day. New professionals hired after the designated T.E. calendar days will not have time equivalency requirements for that year. However, they will need to meet the time equivalency requirements the following year.

Will my records be maintained in ERO if I resign from the District?

No, once an employee resigns from the District their profile is deleted. Therefore, employees that resign from the District must print a complete copy of their transcript for their personal records.
